PandaDoc Salesforce integration: how it works, what it needs, and where it stops

A plain-English guide to the PandaDoc Salesforce integration: what the package does once installed, the Salesforce and PandaDoc plans it requires, the setup steps, and the limits your admin and reps will hit. Then a look at what changes when document generation runs natively inside Salesforce instead.

One connects a separate document app to your CRM. The other runs the builder, signing and tracking inside the record.

The short answer

Does PandaDoc integrate with Salesforce?

Yes. PandaDoc publishes a Salesforce package on the AppExchange that adds a PandaDoc panel to Opportunity, Lead, Contact, Account and custom object records. Reps pick a template, Salesforce data fills the variables and the pricing table, and the document is created in PandaDoc. The integration is a paid add-on on PandaDoc’s annual Business and Enterprise plans, and two-way sync needs a Salesforce edition with API access. Editing happens in PandaDoc’s own application, not inside Salesforce.

What you get

What the PandaDoc Salesforce integration actually does.

A panel on the record

The PandaDoc Documents Lightning component sits on the record page in “related documents” or “template selection” mode. Reps click New Document, choose a template and recipients, then continue into PandaDoc to review and send.

Variables and products

Template variables map to fields on the launching object, and Opportunity Products flow into a pricing table or quote-builder block in the current line-item order. Variables are object-specific: a template on the Opportunity reads Opportunity fields.

Two-way sync triggers

When a document moves to Sent or Completed, triggers can change the Opportunity stage, log activity, save the PDF to Files, update Opportunity Products and write document values (dates, reference, value) to mapped fields.

Setup

How to set up the PandaDoc Salesforce integration, step by step.

Check the plans on both sides

You need PandaDoc Business Annual or Enterprise Annual with the Salesforce add-on, and Salesforce Professional, Enterprise, Unlimited or Developer edition. Professional without the API add-on can create documents but cannot sync them back.

Install the package from the AppExchange

A Salesforce admin installs PandaDoc for all users and grants access to third-party sites. My Domain must already be configured. Sandbox first if you have one.

Approve the connected app

In Setup, under Connected Apps OAuth Usage, approve PandaDoc. PandaDoc’s guide is explicit that skipping this causes connection errors for users.

Assign permission sets

Two sets ship with the package: PandaDoc User for reps who create documents and PandaDoc Admin for whoever manages the integration.

Connect the two accounts

In PandaDoc, under API and Integrations, start the Salesforce setup, pick Production or Sandbox and authorise with OAuth. The PandaDoc account owner needs the Admin role in every workspace that will use it.

Add the component and map your templates

Edit each Lightning record page, drag the PandaDoc Documents component on, choose its mode and activate. Then, in PandaDoc’s template editor, search for the Salesforce variables and paste them into each template. Repeat for every object you send from.

Configure sync triggers

From the PandaDoc Setup app in Salesforce, enable the triggers you want (stage change, activity, save PDF, update products, field mapping) and map fields for each one.

Budget time for the mapping work. Variables live per template, so a change to a Salesforce field means revisiting every template that uses it. If a variable points at a field that no longer exists, document generation errors until it is fixed.
Limits

Where the PandaDoc Salesforce integration stops.

None of these are hidden. They are in PandaDoc’s own documentation, and they are the points where teams start looking for a Salesforce-native alternative.

Editing happens in PandaDoc, not Salesforce

The panel starts the document; the actual building, editing and sending happen in PandaDoc’s application in another tab. Reps work in two systems.

Create and send documents guide

Variables can’t cross objects

Variables are object-specific with no cross-object population, so an Opportunity template cannot reach the Account’s billing address or the owner’s manager without workarounds.

Salesforce (new experience) guide

Refresh only while in Draft

Pulling updated Salesforce data into a document only works while the document is still a draft. Once sent, it is frozen.

2-way sync guide

Two-way sync is Opportunity-centric

Product sync covers Opportunity Products only, and Product Code, Name and List Price cannot be updated. Read-only fields are skipped silently.

2-way sync guide

Limited field types come back

Only text, date, checkbox, dropdown and radio field values can be exported to Salesforce. Encrypted text fields cannot be passed through a variable at all.

Edition and plan gates

The integration is a paid add-on on annual Business or Enterprise plans. Salesforce Professional needs the API add-on for any sync, and PDFs over 12 MB won’t save back to Files.

Pricing context: PandaDoc’s published list price for Business starts at $49 per user per month on annual billing, with Salesforce sold as an add-on; independent pricing guides put a Business seat with the Salesforce and API add-ons at roughly $70 to $80 per user per month. Check PandaDoc’s pricing page for current figures.

Fair note: PandaDoc is a broad document platform with a large template library and works well for teams that are not Salesforce-first. This page is about the specific case of a sales team that lives in Salesforce and wants proposals, quotes and signatures to live there too.

The native route

What changes when document generation runs inside Salesforce.

One screen

The builder opens on the record

SalesSign installs as a managed package and runs through Salesforce Canvas and Lightning Web Components. A rep opens an Opportunity, Quote, Account or custom object, launches the builder and the proposal is created, edited, sent and tracked without leaving the page. Access follows the permission sets you already manage.

Merge fields that traverse your data model

Start from the launching record and follow lookups up to five relationships deep, pull related lists into tables, and format dates, numbers and currencies as you build. The parent Account’s billing address or the owner’s manager is one field pick away, no per-template variable pasting.

Signed PDF, status and engagement on the record

Every send, view, signature and the final PDF land on the Salesforce record as they happen, ready for reports and Flows. Tracking sessions show which pages each recipient read. Nothing waits for a nightly job or a status trigger.

FAQ

PandaDoc and Salesforce, answered.

Which PandaDoc plan includes the Salesforce integration?

PandaDoc’s help centre lists the Salesforce integration as a paid add-on available on Business Annual and Enterprise Annual plans. It is not part of the Starter plan or monthly billing.

Does PandaDoc work with Salesforce Professional Edition?

Documents can be created from Professional Edition, but two-way sync requires API access, which Professional only has with the paid API add-on. Enterprise, Unlimited and Developer editions include it.

Can reps edit PandaDoc documents inside Salesforce?

No. The Salesforce panel starts the document and shows its status; building and editing happen in PandaDoc’s own application in a separate tab.

Does the signed PDF come back to the Salesforce record?

Yes, when the Save PDF trigger is enabled the completed document is saved to the record’s Files, subject to a 12 MB limit.

Can a PandaDoc template pull fields from related objects?

Not directly. Variables are object-specific with no cross-object population, so an Opportunity template reads Opportunity fields only.

What is the Salesforce-native alternative to the PandaDoc integration?

SalesSign runs the proposal builder, e-signature and engagement tracking inside Salesforce through Canvas and Lightning Web Components, with merge fields across related objects and real-time write-back. Plans start at £19 per user per month with a 14-day free trial; see the full SalesSign vs PandaDoc comparison.
